  • Usage Data: Information about how you interact with the App — pages visited, features used, actions taken, and time spent.
  • Device Information: Device type, operating system, unique device identifiers, and mobile network information.
  • Location Data: GPS and network-based location (described in full detail in Section 3 below).
  • Transaction Data: Details of your subscription plan and payment records. Payment card data is processed by our secure payment provider and not stored by us.

Location Data

Pharzo accesses and processes your device's location data. This section provides full disclosure as required by Google Play's User Data Policy.

Why Pharzo Accesses Your Location

As a field force management and pharma CRM application, Pharzo uses your device location for the following core purposes:

  • Field Visit Verification: To verify that Medical Representatives (MRs) are physically present at customer/clinic locations during reported visits.
  • Route & Beat Planning: To assist in planning daily travel routes and territory coverage for field teams.
  • Check-in / Check-out: To record GPS coordinates when an MR marks attendance or begins/ends a customer visit.
  • Tour Program Compliance: To validate actual field coverage against planned tour programs.
  • Reporting & Analytics: To generate location-based reports for managers reviewing field activity.

Types of location data we collect:

  • Precise Location (GPS): Latitude and longitude coordinates at the time of check-in/check-out events.
  • Approximate Location: Network-based location may be used as a fallback when GPS is unavailable.

When is location data collected?
Location data is only collected when you actively use the App and perform field-related actions (e.g., marking a visit, checking in). We do not collect location data in the background when the App is not in use, unless background location permission has been explicitly granted by you for continuous tracking features (where applicable).

How location data is stored and protected:
Location data is transmitted securely over HTTPS, stored on our servers with encryption at rest, and accessible only to authorised users within your organisation (e.g., your reporting manager and company administrator). We do not sell or share your location data with third-party advertisers.

How to control location permissions:
You may revoke location permissions at any time through your device's Settings → Apps → Pharzo → Permissions. Note that revoking location access will limit field verification features of the App.


How We Use Your Information

We use the information we collect for the following purposes:

  • To create and manage your account and authenticate you securely.
  • To facilitate field visit check-ins, route planning, and tour compliance tracking.
  • To generate MR activity reports, daily call reports (DCR), and management dashboards.
  • To send administrative notifications, updates, and support communications.
  • To improve, personalise, and expand our App features based on usage patterns.
  • To detect, investigate, and prevent fraud, misuse, or security incidents.
  • To comply with applicable laws and regulations.
  • To fulfil any contractual obligations we have with your employing organisation.

Sharing Your Information

We do not sell your personal information. We may share your data only in the following limited circumstances:

  • Within your organisation: Your activity data (including location check-ins) is visible to company admins and authorised managers as configured by your employer.
  • Service providers: Trusted third-party vendors who assist us in operating the App (cloud hosting, payment processors) under strict confidentiality agreements.
  • Legal compliance: When required by law, court order, or a governmental authority.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with prior notice provided to users.

Security of Your Information

We implement industry-standard administrative, technical, and physical security measures to protect your personal information, including:

  • HTTPS / TLS encryption for all data in transit.
  • Encryption at rest for sensitive data stored on our servers.
  • Role-based access controls limiting who can view your data.
  • Regular security audits and vulnerability assessments.

While we take every reasonable precaution, no security system is completely infallible. We encourage you to use a strong, unique password and to contact us immediately if you suspect any unauthorised access to your account.


Data Retention

We retain your personal data only as long as necessary for the purposes outlined in this policy and as required by applicable law. Location and activity data is retained for the duration of your organisation's active subscription.

Upon account termination or subscription expiry, data will be deleted or anonymised within 90 days, unless we are legally required to retain it for a longer period.

Depending on your location and applicable laws, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your data (subject to legal obligations).
  • Portability: Receive your data in a structured, machine-readable format.
  • Objection / Restriction: Object to or request restriction of certain processing activities.
  • Withdraw Consent: Where processing is based on consent, withdraw that consent at any time.

We are not responsible for the data practices of these third-party services. We only work with trusted providers and ensure contractual safeguards are in place wherever applicable.


Children's Privacy

Pharzo is designed for professional B2B use and is not intended for individuals under the age of 18. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us immediately and we will take prompt steps to delete it.


Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we do, we will revise the "Last updated" date at the top of this page.

For material changes, we will notify you via in-app notification or email before the changes take effect. We encourage you to review this policy periodically to stay informed.
